She is dedicated to helping students all over the world improve their English language skills.<\/p>\n<\/div>\n<p>Two of the most common reasons people send emails are to ask for things and to say \u201cthank you.\u201d In both of these situations, English speakers use specific phrases to make their emails sound softer and <a href=\"https:\/\/www.espressoenglish.net\/15-phrases-for-speaking-polite-english\/\">more polite<\/a>.<\/p>\n<p>Without these phrases, it is very easy for an email to sound \u201ctoo direct\u201d or even a little aggressive, which is not what you want. Let\u2019s look at some simple phrases you can use in request emails and thank you emails to make your message polite and diplomatic.<\/p>\n<h3>Request Emails: How to Begin<\/strong><\/h3>\n<p>It is more polite if you can begin your email with a greeting and a line of introduction before you make your request. You might use one of these phrases for your greeting:<\/p>\n<ul>\n<li><strong>Dear Mr. Fisher,<\/strong><\/li>\n<li><strong>Dear Mike, <\/strong><\/li>\n<li><strong>Good morning,<\/strong><\/li>\n<li><strong>Mike, <\/strong><\/li>\n<li><strong>Hi Mike,<\/strong><\/li>\n<\/ul>\n<p>After your greeting, it is a good idea to include a line of introduction. For a friend, a co-worker, or someone you know, you might write something like this:<\/p>\n<ul>\n<li><strong>I hope you are doing well. <\/strong><\/li>\n<li><strong>I hope you are having a nice summer.<\/strong><\/li>\n<\/ul>\n<p>For a stranger, it is a good idea to refer to the connection you have with this person.<\/p>\n<ul>\n<li><strong>I came across your website as I was searching for music schools. <\/strong><\/li>\n<li><strong>I attended your presentation at the Miami Trade Fair last week. <\/strong><\/li>\n<li><strong>My friend Jesse has been one of your customers for several years, and he recommended that I contact you.<\/strong><\/li>\n<\/ul>\n<h3 style=\"text-align: center;\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-medium wp-image-18991\" src=\"https:\/\/www.espressoenglish.net\/wp-content\/uploads\/2021\/01\/message-369540_640-1-300x150.png\" alt=\"\" width=\"300\" height=\"150\" srcset=\"https:\/\/www.espressoenglish.net\/wp-content\/uploads\/2021\/01\/message-369540_640-1-300x150.png 300w, https:\/\/www.espressoenglish.net\/wp-content\/uploads\/2021\/01\/message-369540_640-1.png 640w\" sizes=\"auto, (max-width: 300px) 100vw, 300px\" \/><\/h3>\n<h3>Request Emails: Phrases for Requests<\/strong><\/h3>\n<p>When you are ready to make your request, here are three phrases you can use to make the request sound polite:<\/p>\n<ul>\n<li><strong>Could you or could you please&#8230;?<br \/>\n<\/strong>Could you send me more information about your schedule?<br \/>\nCould you please check my grade once more? I think there might be a mistake.<\/li>\n<li><strong>Would it be possible to&#8230;?<br \/>\n<\/strong>Would it be possible to change our meeting from 10 to 11?<br \/>\nWould it be possible to get more information about your program?<\/li>\n<li><strong>I was wondering if<\/strong>&#8230;<br \/>\nI was wondering if I could change my start time from 8:00 to 9:00 on Friday.<br \/>\nI was wondering if you could give Sara a ride to school on Thursday.<\/li>\n<\/ul>\n<p>When your request is not urgent and you don\u2019t need the reader to take action right away, it is very polite to communicate this to the reader. Here are two useful phrases you can include when your request is not urgent:<\/p>\n<ul>\n<li><strong>When you have a moment<\/strong>\/ <strong>when you have a chance<\/strong><br \/>\nWhen you have a chance, could you send me the finished documents?<br \/>\nCould you deliver these updates to Mr. Lee when you have a moment?<\/li>\n<\/ul>\n<h3>Request Emails: Concluding<\/strong><\/h3>\n<p>Finally, before you finish your request email, it is important to include a quick \u201cthank you.\u201d Here are some good phrases that you can use:<\/p>\n<ul>\n<li><strong>Thank you so much for your help. Would it be possible for you to send me a link to the presentation? Thank you so much.<\/em><\/p>\n<p><em>Best regards,<\/em><\/p>\n<p><em>Anne<\/em><\/p>\n<hr \/>\n<p><em>Good morning Ms. Powell,<\/em><\/p>\n<p><em>I hope you are doing well. Thank you for your help last week on the cost estimate. Could you send me the finished document when you have a chance? I really appreciate it.<\/em><\/p>\n<p><em>Warm regards,<\/em><\/p>\n<p><em>Wendy<\/em><\/p><\/blockquote>\n<h3>Thank You Emails <\/strong><\/h3>\n<p>When you are writing a \u201cthank you\u201d email, you can begin your email immediately by saying \u201cthank you.\u201d Then, in order to make your email sound more polite, you should include some additional sentences.<\/p>\n<p>You can repeat the idea of \u201cthank you\u201d using different words, and you can also express why the gift or action is\u00a0 important to you or how you are using it. You can even offer to \u201creturn the favor.\u201d In other words, you can offer to do something nice in the future for the person who did something nice for you.<\/p>\n<h3>Basic Thank You Structure<\/strong><\/h3>\n<p>Notice that the preposition <strong>for <\/strong>\u00a0follows the words \u201cthank you.\u201d<\/p>\n<ul>\n<li>Thank you <strong>for<\/strong> dinner last night.<\/li>\n<li>Thank you <strong>for<\/strong> the flowers.<\/li>\n<li>Thank you <strong>for<\/strong> the invitation.<\/li>\n<\/ul>\n<p>If you are thanking someone for an action, the verb will be in the gerund (-ing) form.<\/p>\n<ul>\n<li>Thank you for lend<strong>ing<\/strong> me your car.<\/li>\n<li>Thank you for tak<strong>ing<\/strong> care of my house.<\/li>\n<li>Thank you for send<strong>ing<\/strong> me the documents I needed.<\/li>\n<\/ul>\n<p style=\"text-align: center;\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-medium wp-image-18993\" src=\"https:\/\/www.espressoenglish.net\/wp-content\/uploads\/2021\/01\/calligraphy-2658504_640-300x199.jpg\" alt=\"\" width=\"300\" height=\"199\" srcset=\"https:\/\/www.espressoenglish.net\/wp-content\/uploads\/2021\/01\/calligraphy-2658504_640-300x200.jpg 300w, https:\/\/www.espressoenglish.net\/wp-content\/uploads\/2021\/01\/calligraphy-2658504_640.jpg 640w\" sizes=\"auto, (max-width: 300px) 100vw, 300px\" \/><\/p>\n<h3>More Ways to Express Thanks in E-Mails<\/strong><\/h3>\n<p>After you have said \u201cthank you,\u201d it is important to add a few more sentences. Your email doesn\u2019t need to be very long, but if you can say \u201cthank you\u201d in a few different ways, your email will sound more polite.\u00a0 You might use one of these phrases, depending on the situation and what you are saying \u201cthank you\u201d for.<\/p>\n<ul>\n<li>I really appreciate it.<\/li>\n<li>I am very grateful for your help.<\/li>\n<li>I really enjoyed it.<\/li>\n<li>It was a big help.<\/li>\n<li>That was a wonderful surprise.<\/li>\n<li>We had a great time.<\/li>\n<li>It was so kind of you to think of me.<\/li>\n<li>That was very generous of you.<\/li>\n<li>It would not have been possible without your help.<\/li>\n<\/ul>\n<p>You may offer to \u201creturn the favor,\u201d which means that you can offer to do something for this person in the future.
